Kennily ("we", "our", or "us") operates the WingMate mobile application (the "App"). This Privacy Policy explains what information we collect, how we use it, and the rights you have regarding your data. By using WingMate, you agree to the practices described in this policy.

1 Information We Collect

Account Information

WingMate uses Google Sign-In for authentication. When you sign in, we receive from Google:

  • Your name and email address
  • Your Google account profile photo (if available)
  • A unique Google account identifier

We do not receive or store your Google account password.

Duty Schedule Data

The core function of WingMate is duty swap matching. To provide this, we collect and store:

  • Duty roster entries you enter or import into the App (flight numbers, aircraft type, duty dates, duty type)
  • Swap listings you create, including the duty you are offering and the duty conditions you prefer
  • Your airline rank and position

User Preferences

To improve matching results and your experience, we store:

  • Swap preferences and filter settings (duty types, routes, dates)
  • Notification preferences
  • In-app communication history with matched crew members

Usage and Technical Data

We automatically collect limited technical information necessary to operate the service:

  • App version and device operating system type
  • Firebase Cloud Messaging token for push notifications
  • Crash logs and error reports (via Firebase Crashlytics)

We do not collect precise device location, contacts, or any data unrelated to crew duty management.

2 How We Use Your Information

Your information is used solely to operate and improve WingMate. Specifically:

  • Duty swap matching: Your roster data and preferences are used to identify other crew members with compatible duties for a potential swap.
  • Listing display: Your duty details are shown to other users who are browsing potential swap partners, only while your listing is active.
  • In-app messaging: Messages are delivered to facilitate swap coordination between matched crew.
  • Push notifications: We send notifications about new swap matches, messages, and listing status changes.
  • Service improvement: Aggregated, anonymised usage patterns help us improve matching algorithms and the user experience.
We do not sell, rent, or trade your personal information or duty data to any third party for marketing or commercial purposes.

3 Data Storage and Security

All data is stored on servers hosted on Google Cloud Platform (GCP). We apply the following security measures:

  • All data is transmitted over encrypted HTTPS/TLS connections
  • Database access is restricted to authenticated backend services only
  • Authentication is handled by Firebase Authentication (Google's infrastructure)
  • Server infrastructure is isolated within a private VPC network
  • Regular automated backups are maintained

While we apply industry-standard practices to protect your data, no method of electronic storage or transmission is 100% secure. We encourage you to use a strong Google account password and enable two-factor authentication on your Google account.

4 Third-Party Services

WingMate uses the following third-party services to operate the App. Each has its own privacy policy:

Google / Firebase

  • Firebase Authentication: Manages secure sign-in via your Google account.
  • Firebase Cloud Messaging (FCM): Delivers push notifications to your device.
  • Firebase Crashlytics: Collects anonymous crash reports to help us fix bugs.
  • Google Cloud Platform: Hosts the WingMate backend servers and database.

No other third-party analytics, advertising, or tracking services are integrated into WingMate.

5 Your Rights

You have the following rights with respect to your personal data:

Access

You may request a copy of all personal data we hold about you at any time by contacting us at support@wingmates.club.

Correction

You may update your profile information and roster data directly within the App at any time.

Deletion

You may request full deletion of your account and all associated data. To do so:

  • Use the "Delete Account" option in the App settings, or
  • Email us at support@wingmates.club with the subject "Account Deletion Request"

Upon receiving a deletion request, we will permanently delete your account and all associated personal data within 30 days. Anonymised, aggregated statistical data that cannot be linked back to you may be retained.

Data Export

You may request an export of your personal data in a machine-readable format (JSON) by contacting us at support@wingmates.club. We will fulfil such requests within 30 days.

Opt-Out of Notifications

You may disable push notifications at any time through your device's notification settings or through the App's notification preferences screen.

6 Data Retention

We retain your data for as long as your account is active. Specific retention rules:

  • Active duty listings: Retained while the listing is open; automatically archived after the duty date passes.
  • Chat messages: Retained for up to 12 months after the related swap listing closes.
  • Account data: Retained until account deletion is requested.
  • Crash logs: Retained by Firebase Crashlytics for up to 90 days per their standard policy.

7 Children's Privacy

WingMate is intended for use by airline crew members who are adults (18 years of age or older) by the nature of the profession. We do not knowingly collect personal information from anyone under the age of 18. If you believe a minor has created an account, please contact us immediately at support@wingmates.club and we will delete the account promptly.

8 Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by:

  • Posting the updated policy on this page with a new "Last updated" date, and
  • Sending an in-app notification or push notification where appropriate.

Your continued use of the App after changes are posted constitutes your acceptance of the revised policy. We encourage you to review this page periodically.
